Attendee entitlement data is derived directly from the registrar of shareholders. Proxy votes, including CREST proxy votes, are imported as at the formal cut off date and pre-registered onto the system.

Attendance cards are scanned on arrival and attendee details are automatically added to the meeting database, enabling shareholder profiles to be easily tracked via the vote monitor.

Shareholders proxy votes are instantly overridden should they decide to attend.

The system provides a fully secure and auditable environment with every registration automatically recorded.

At a recent high profile event, IML registered 2500 shareholders without any delays, with an average registration time per shareholder of under 20 seconds.

Number of votes/shareholders present can be instantly calculated.

Poll cards can be calculated quickly post event. A small team will take approximately 30 minutes to process 1000 cards.

ISDN lines are not required, thereby reducing cost.

 

Vote Monitor

 

A live information monitor for the Chairman, Secretary and Scrutineer tracks attendee details and displays up to date information of all attendees and proxy vote status. Previews of polls, including potential swing are also shown.

Display

 

Once calculated, results can be displayed on-screen showing both the percentage and number of votes cast, including those withheld.

The results screen and charts can be customised to reflect the company's branding.

Reports

 

Reports are produced within seconds of polls being calculated, allowing results to be released to the stock exchange without delay. A full audit trail and scrutineers report are created together with results by resolution, meeting attendees, votes by attendee, attendance by class and overridden proxy votes.

An archive of the event is burnt onto a CD containing all reports and the meeting audit.
